Fleet Overview
Track each vehicle on an interactive map, with color-coded icons for driving, idling, engine off, and offline, overlaid with geofences and user-defined areas, and hover details for name, VIN, speed, trip distance, and last online timestamp.
Use Overview Widgets, including Fleet Total, Driving Now, Driven Today, Driven Last 30 Days, and Not Driven Last 30 Days, to obtain a quick status summary, with direct links to the corresponding filtered vehicle lists.
Review Time & Distance statistics for the current day and month-to-date, on both fleet and per-vehicle level, with average and total drive times and distances for utilization assessment.
Monitor key locations via the Location Monitoring widget, which displays vehicle counts on and off each configured site, along with a “Top 5” preview and quick navigation to detailed views.
Move directly from any map marker or widget into detailed vehicle tables, trip histories, or custom reports to perform deeper analysis and follow up on specific observations.
Vehicle Details
Access all relevant vehicle information in a single view, including general attributes on the dashboard, real-time widgets, trip history, and alerts, to support day-to-day fleet management.
Use vehicle widgets on the overview to see assigned fleet, open alerts, active geofences, locations, and time & distance metrics consolidated for each vehicle.
Configure the Dashboard with maps or graphs, filter by date, and visualize position, speed, RPM, and other signals; define custom widgets or use the Auto Generate function to create layouts from existing data.
Inspect Trips with mapped routes, start and end addresses, duration, distance, and classifications such as personal or business; apply filters by date range, distance, and duration, and export trip records when needed.
Handle Alerts using a structured table that lists severity, occurrence counts, and descriptions, with options to dismiss or resolve incidents and maintain a clear audit trail.
Trips
Detect vehicle trips automatically by monitoring engine on/off events (running/stopped), or configure alternative triggers such as EV power state, ignition status, or specific CAN signals to adapt to different powertrain types.
Visualize each trip on a map with start and end addresses, plotted route, total distance, duration, and in-trip statistics such as speed variation and idle segments, with filters for date ranges or vehicles.
Categorize trips using labels like personal and business, apply advanced selection filters (distance thresholds, duration bands), and export trips as Excel or CSV files for compliance, billing, or operational review.
Automate data delivery with Automatic Exports: schedule export tasks to execute after the trip_end event (default 10-minute delay), and send results via email or JSON webhook so completed trips are consistently captured without manual steps.
Integrate via the API tasks/ endpoints to list export jobs, download results with tasks/{id}/result/, and clear archives using tasks/{id}/clear_result/, forming a controlled pipeline from trip completion to external systems.
Control exports on demand by POSTing to tasks/ with the core task core.tasks.es_trip_export and a specific trip_id, and reuse past export definitions to satisfy ad-hoc reporting, internal audits, or data-retention workflows.
Geofences
Create new geofences by drawing polygon areas or defining circular radii on the map, and assign a name and color to each fence for clear identification in map views.
Manage all geofences from the Fleet Geofences tab: adjust boundaries, enable or disable individual fences, and review aggregate metrics such as total entries and exits per zone.
Assign geofences to selected vehicles or groups to focus event detection and avoid unnecessary alerts.
Configure notification channels, including email alerts or JSON webhook callbacks, for enter and exit events so relevant personnel receive timely updates.
Monitor current geofence activity with an interactive dashboard that shows event logs, timestamps, and a map overlay indicating each vehicle’s inside/outside status.
Integrate via the /geofences/ API endpoints to automate fence creation, updates, listing, and deletion, and to export geofence event data into external analytic or dispatch systems.
Vehicle Groups
Organize vehicles into dedicated groups for structured management; define group names, assign members in bulk, and maintain a clear logical segmentation of the fleet.
Manage group membership from the Groups tab: search for vehicles, add or remove members with a few clicks, rename groups, and enable or disable groups according to operational changes.
Filter both the interactive map and the vehicle list by group to focus on specific operational segments such as business units, regions, or project fleets.
Integrate with the /groups/ API endpoints to create, update, list, or delete groups programmatically, keeping AutoPi Cloud aligned with internal systems such as ERP or fleet management tools.
Combine groups with geofence rules, trip exports, and notification configurations to implement targeted workflows where only specified subsets of vehicles generate events or reports.
Locations
Define and maintain operational locations such as offices, headquarters, or depots by assigning each location a name and metadata, including address, contact email, phone, and notes, to support structured fleet organization.
Visualize all locations on an interactive world map, complemented by a list view for filtering and navigation; hover over markers for summary details and click through to associated assets.
Create locations quickly by selecting “Create,” completing mandatory fields (name and contact email), and then using geofence tools to define a circle or polygon boundary with a distinct color for map representation.
Assign vehicles or groups to locations via the edit dialog, using search by name, VIN, or group; enable multiple assets at once and save to immediately update the Vehicles column with counts and access links.
Control user visibility by assigning team members to selected locations, ensuring they only see vehicles and operations linked to their area of responsibility and supporting role-based access control.
Integrate with the /locations/ API endpoints to automate creation, modification, listing, and deletion of locations, and to export location-vehicle relationships into external reporting or BI systems.
Reports
Generate detailed reports in AutoPi Cloud that provide insight into fleet performance and driver behavior, supporting systematic improvements in safety, utilization, and efficiency.
Use summarized views of vehicle interactions with geofences, evaluate idle time, review route efficiency, and identify where vehicles spend the majority of their time, all within a dedicated Reports section.
Export reports as PDF files for offline review, sharing with stakeholders, or archiving as part of documentation processes.
Schedule recurring Geofence Summary Reports on a daily, weekly, or monthly basis, and access them under the Schedules tab, where frequency, timestamps, and actions are clearly listed.
Within Geofence Summary Reports, track entries and exits, detect unauthorized stops, quantify time spent within each zone, and review event logs for a detailed view of geofence-related activity.
Life-cycle Management
Orchestrate the full fleet life-cycle by defining Vehicle States (for example Maintenance, Active, Retired) and connecting each state to specific Notification Channels so that state changes automatically trigger relevant communication.
Configure parent and child Vehicle States to represent phases such as in-service, scheduled maintenance, or end-of-life, making it straightforward to see where each vehicle is in the operational process.
Assign default or user-defined Notification Channels, including Email, SMS, Discord webhook, or Cloud Alerts, to any state transition so stakeholders receive structured messages when vehicles move between life-cycle stages.
Track state durations and transitions from the Vehicle List, filtering by state to highlight vehicles requiring intervention, such as those awaiting maintenance or approaching retirement criteria.
Automate maintenance and replacement processes by basing workflows on state changes, so that service requests, scheduling, or decommissioning actions occur according to defined rules rather than ad-hoc decisions.
Ensure transparency and compliance by combining Vehicle States with Notification Channels, simplifying audits, enforcing service intervals, and maintaining alignment between operational teams throughout each vehicle’s life-cycle.
